Coordinator, Communications and Events

Reports To: Managing Director, Marketing and Events

Job Summary:

The Coordinator, Communications and Events (CCE) works with the Director, Marketing and Events to develop, coordinate, and implement BVU’s communications and events. This position will collaborate with others at BVU to achieve brand consistency, coordination of messages, and provide the highest standard for external communications.  The Coordinator, Communications and Events works with the appropriate BVU staff members to plan and execute all BVU seminars and webinars.



  • Co-create electronic and print materials to include, but not limited to, newsletters, seminar brochures, membership information, promotional flyers of BVU’s programs and services with Director, Marketing and Events.
  • Create and maintain a calendar for all BVU events (internally and externally)
  • Run event meetings and make sure all event details and timelines are met
  • Manage programs and events to make sure all event information is shared in a timely manner.
  • Implement a content editorial calendar to manage content and plan specific and timely marketing campaigns
  • Work with the NPO, Business and HandsOn team to create weekly and monthly newsletters
  • Create and send event follow-up emails
  • Maintain contact with sponsors and make sure sponsors are aware of their benefits
  • Implement sponsorship deliverables for events
  • Create and send follow-up sponsorship wrap-up reports after a summit or series of events
  • Responsible for social media channels; monitor for effectiveness
  • Co-create and assist in the creation of social media ads and other online marketing avenues
  • Create, monitor, and manage surveys via Survey Monkey and Google Forms
  • Become an advocate for BVU in social media spaces, engaging in dialogues and answering questions where appropriate
  • Co-develop standardized templates in order to streamline the communication process for BVU staff
  • Maintain BVU email lists with Director, Marketing and Events
  • Work with BVU board staff liaison to ensure board member information is updated on website, lists, and event invites
  • Create pages and edit website content, design and maintenance
  • Attend staff meetings; staff appropriate committees
  • Assist with press releases, media campaigns, and communication strategies
  • Assist in collecting and maintaining client testimonials
  • Design and update staff PowerPoint presentations incorporating brand guidelines
  • Answer incoming telephone calls, serve as a receptionist, and fill in for administrative detail, as needed
  • Provide additional services as directed



  • Implement BVU seminars and events
  • Create, post and market all seminar on BVU’s website and marketing avenues
  • Set up online web registration
  • Select and confirm venue
  • Be the main point of contact for speakers and address their seminar requirements
  • Run backend of webinar presentations
  • Trouble shoot any backend virtual event issues with attendees and or presenters
  • Find and venue, and confirm set up with venue; order food; confirm logistics
  • Create nametags, presentation materials, speaker gifts, and supplies are provided
  • Responsible for transporting all nametags, presentation materials, speaker gifts, PowerPoint presentations, and supplies to venue
  • Place directional signage in ground around venue
  • Set up nametags, manage catering, audio visual, assist attendees at registration; work event; clean up as needed
  • Open/close seminars, meet with potential presenters, and co-lead staff planning meetings
  • Maintain, create, and ensure all seminar sponsorship benefits are fulfilled such as signage at seminars, logo and name recognition on website and email blasts, verbal recognition at seminars, etc.
  • Maintain manual for position with clear instructions to reflect position’s duties and responsibilities
  • Provide additional services as directed


Must have 3 years related experience in the event and marketing area.  College degree required, preferably marketing and communications degree. Poise and customer-oriented orientation required in communicating with business and nonprofit leaders, and general public through excellent written and verbal skills. Must possess a high degree of accuracy and attention to detail. Ability to drive independently on regular basis throughout Northeast Ohio.  Knowledge of Adobe Creative Suite; Microsoft Office, Power Point, Word, Excel and data entry. Knowledge of Web design, specifically WordPress and of email platforms. Displays in-depth knowledge and understanding of social media platforms, their respective participants (Facebook, Twitter, Instagram, YouTube, Pinterest etc.) and how each platform can be deployed in different scenarios.  Experience with Adobe Photoshop, Illustrator and/or other graphic software is extremely helpful.
